Get early access
Early access · for Xero users and bookkeepers

Invoices that can't go out without their paperwork.

For customers who need proof of delivery, a timesheet or a signed job sheet, Attachment Guard holds each approved Xero invoice until the files are attached. Then it sends the invoice and files from your own Outlook and marks it as sent in Xero.

We're building it now with a small group of early users. Founding plan: $5/month.

No paperwork, no payment.

Plenty of customers won't pay an invoice that arrives without its proof of delivery or timesheet. Xero lets you attach files by hand, but nothing stops an invoice going out without them. One missed file means a rejected invoice, a resend and a later payment.

How it works

Set it up once. After that it works on every invoice for the customers you flag.

  1. 1

Flag the customers who need paperwork

Mark the customers who always need proof of delivery, a timesheet or a signed job sheet. Everyone else is left alone.

  2. 2

Invoices wait until the files are there

When you approve an invoice for a flagged customer, it's held until the supporting files are attached. If something is missing, you get an alert.

  3. 3

    Sent from your own Outlook

The invoice and its files go out from your own mailbox, with a copy in Sent Items, and the invoice is marked as sent in Xero.

For businesses whose customers want proof

If your customers ask for paperwork before they pay, Attachment Guard is for you. It's also for the bookkeepers who send invoices for you.

Questions

Can't I already attach files in Xero?

You can, by hand. The problem is that nothing stops an invoice going out without them. Attachment Guard holds invoices for flagged customers until the files are there, so they can't be forgotten.

Why send from Outlook instead of Xero?

Your customer gets the email from your own address, replies come straight to you, and you keep a copy in Sent Items like any other email.

Do I need to change how I work in Xero?

No. You keep creating and approving invoices in Xero as usual. Attachment Guard only steps in for the customers you've flagged.

When can I start using it?

We're building it now with a small group of Xero users and bookkeepers. Email us and we'll add you to the early access list.
